This Privacy Policy explains how Howsembly (“we”, “us”, or “our”) collects, uses, stores, and shares information when you visit our website, use the Howsembly service, or use the Howsembly Capture browser extension.

Information we collect

Account information you provide, such as your name, email address, company name, and phone number.
Workspace content you create or upload, including process guides, tasks, files, screenshots, and related company content.
Usage and device information related to how you access and use the service, including browser, device, diagnostic, security, and activity information.
Browser extension capture data you intentionally create during an active Howsembly Capture session. This may include workflow step text, page URLs and titles, visible labels or headings, viewport screenshots, clicked controls, input interactions, and optional narration transcripts.
Website analytics and advertising information collected through cookies and similar technologies on our public marketing pages, such as Google Analytics or Meta Pixel data, when enabled.
Template activity information, such as templates viewed or installed, the template and source version selected, the applicable company workspace, installation date, and your acceptance of the template terms.

Howsembly Capture browser extension

Howsembly Capture records browser workflows only after you select Start capture. Captured information is sent securely to the Howsembly company workspace you select and is used to create a private draft guide.

The extension does not intentionally extract values entered into ordinary form fields. However, information visible on the page may appear in a captured screenshot. Sensitive-field redaction is enabled by default for recognized password, PIN, payment-security, token, API-key, and similar fields. Recognized pixels are permanently obscured before the screenshot source leaves your browser. You may disable this feature or add manual blur regions when editing an image.

Howsembly may retain both rendered screenshots and source screenshots to support reversible highlight, blur, crop, color, size, and position editing. Permanently redacted pixels are not retained in an unredacted source by Howsembly.

Narrated steps are disabled by default. If you enable narration, Chrome may use its speech-recognition service to process microphone audio and produce transcript text. Howsembly does not store or upload the microphone audio itself; only the resulting transcript text is added to captured steps.

The extension stores a scoped, revocable authentication token, selected company information, and capture preferences locally in your browser. Extension access tokens expire and can be revoked by disconnecting the extension.

To provide, operate, secure, maintain, and improve Howsembly.
To authenticate users and manage access to company workspaces.
To create draft process guides from user-initiated browser captures.
To provide screenshot editing, storage, collaboration, and publishing features.
To communicate about accounts, trials, billing, security, support, and product updates.
To understand public marketing-site traffic and campaign performance.
To prevent fraud, misuse, security incidents, and technical problems.
To comply with applicable law and enforce our terms.
To provide the template gallery, install templates into company workspaces, preserve template provenance, prevent duplicate installations, and record acceptance of applicable template terms.

Chrome Web Store Limited Use

Howsembly’s use and transfer of information received through the Howsembly Capture extension and Google APIs complies with the Chrome Web Store User Data Policy, including its Limited Use requirements.

Extension data is used only to provide and improve the user-facing capture and guide-creation features described in this policy. We do not sell extension data, use it for advertising, use it to determine creditworthiness, or transfer it for purposes unrelated to providing the extension’s disclosed functionality. Information may be shared only with service providers acting on our behalf under appropriate confidentiality and security obligations, when necessary for security purposes, or when required by law.

Cookies and tracking

Our public marketing pages may use third-party analytics and advertising technologies. These services may set cookies or collect device identifiers and campaign information. You can control cookies through your browser settings.

Logged-in product content, browser-extension captures, screenshots, narration transcripts, and guide content are not used for advertising or sent to advertising platforms.

How we share information

We may share information with service providers that help us host, secure, operate, support, email, analyze, or bill for the service. Chrome’s speech-recognition service may process audio when you voluntarily enable narrated steps.

We may also disclose information when required by law, to protect users or the service, or in connection with a merger, financing, acquisition, or sale of assets. We do not sell personal information or captured extension content.

Data retention and security

We retain information for as long as reasonably necessary to provide the service, maintain security, resolve disputes, and meet legal obligations. Company content, including process guides, screenshots, and attachments, is stored in private cloud storage associated with the applicable company workspace.

Captured drafts and screenshots remain available until they are deleted through Howsembly or the associated company is permanently deleted, subject to applicable backup, recovery, and legal-retention periods. Discarded capture sessions are not uploaded as completed guides.

We use reasonable administrative, technical, and organizational safeguards, including encrypted transmission and access controls. No method of transmission or storage is completely secure.

Your choices

You may pause, resume, discard, or remove individual steps during a capture.
You may disable sensitive-field redaction, scroll detection, or narration.
You may disconnect the extension to revoke its local access.
You may edit or delete captured guides and screenshots through Howsembly.
You may update your account information or request account deletion where available.

Children

The service is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this Privacy Policy to reflect changes to our services, legal requirements, or data practices. We will update the date above when changes are made. Your continued use of the service after an updated policy takes effect constitutes acceptance of that policy.
